What is lead follow-up automation?
Lead follow-up automation is a system that answers every new enquiry within a minute, keeps following up on a schedule, and books the appointment without a person doing the chasing.
What does lead follow-up automation do?
Lead follow-up automation replies to a new lead, asks qualifying questions, offers appointment times and sends reminders, all from rules and AI agents running inside a CRM such as GoHighLevel. The lead can arrive from a Meta form, a Google Ads call, a website chat, a WhatsApp message or a missed call. The system treats each one the same way: respond, qualify, book, remind.
The automation has four parts. The trigger is the event that starts it, such as a form submission. The sequence is the ordered set of messages and waits. The agent is the AI that handles replies a fixed sequence cannot predict. The handoff is the rule that passes the conversation to a person when a human is needed.
- Trigger: form, call, chat, DM or missed call lands in the CRM
- Sequence: text, email, WhatsApp or voice steps with timed waits
- Agent: AI that answers questions, offers times and books
- Handoff: rules that route pricing disputes, complaints or complex jobs to staff
Why does a fast first reply change the outcome?
A fast first reply matters because a lead usually contacts more than one business, and the business that answers first is the one the lead keeps talking to. As we covered in our California clinic research, 62% of small-business calls go unanswered, and 80% of callers who reach voicemail hang up without leaving a message. Every one of those callers was a lead that cost money to attract.
Speed to lead is the metric for this: the time between the enquiry and the first meaningful reply. Automation moves that time from hours to under a minute, at any hour, on every channel.
What types of lead follow-up automation exist?
| Type | What it does | Typical trigger | Best for |
|---|---|---|---|
| Missed-call text-back | Sends a text within seconds of a missed call and starts a conversation | Unanswered inbound call | Home services, clinics, trades |
| AI receptionist (voice) | Answers the phone, qualifies, books into the calendar | Inbound call | Clinics, law firms, real estate |
| AI chat agent | Replies on website chat, WhatsApp, Instagram DM, SMS | Message on any channel | Ecommerce, clinics, agencies |
| Lead nurture sequence | Timed texts and emails until the lead replies or books | Form submission | Ads-driven businesses |
| Appointment reminders | Confirms and reminds before the visit; reschedules no-shows | Booking created | Any appointment business |
| Reactivation campaign | Messages old contacts with a reason to book again | Contact inactive for 90+ days | Businesses with a customer list |
How does a lead move through the system?
The same five steps run whether the lead came from an ad, a search or a referral.
Capture
The enquiry lands in one CRM record with its source, channel and consent status attached.
Respond
An automated text, WhatsApp or voice reply goes out within a minute of the enquiry.
Qualify
The AI agent asks two to four questions: what they need, when, where and whether they are the decision maker.
Book
The agent offers open calendar slots and confirms the appointment in the calendar.
Remind and follow through
Reminders go out before the visit; unanswered leads get further messages on a schedule for up to 30 days.
What are the consent rules for automated follow-up in the US?
Automated texts and calls in the United States fall under the Telephone Consumer Protection Act (TCPA), which requires prior express consent for marketing messages sent with an autodialer, and carriers require business texting to be registered under A2P 10DLC before messages are delivered at volume. In practice this means the form or call that captures the lead must record consent, and the sending number must be registered before the first campaign.
- Does every automated text need consent? Yes for marketing content; transactional replies to an enquiry are treated differently but should still be logged.
- Does A2P 10DLC apply to a single business number? Yes, any business sending application-to-person texts on a 10-digit US number must register.
- Who registers the number? The agency does it inside GoHighLevel during setup.
How much does lead follow-up automation cost?
Lead follow-up automation costs a platform subscription plus metered usage plus the agency fee for building and running it. GoHighLevel, the platform we use, is priced at $297 per month for the Unlimited plan and $497 per month for the Agency Pro plan as of 22 August 2026; voice minutes are metered separately at roughly $0.10 to $0.20 per minute for speech-to-speech AI as of 28 September 2026. Texts and WhatsApp messages are charged per message by the carrier.
The full breakdown for voice agents is on the AI receptionist cost page. Our own engagement models are on the pricing page.
Common questions about lead follow-up automation
Does lead follow-up automation replace my receptionist?
No. It handles the enquiries that arrive when nobody is free, after hours, or in volumes a person cannot keep up with. Your receptionist takes the handoffs that need judgement, such as complaints, pricing exceptions and complex bookings.
How long does it take to set up?
Most systems go live within two to four weeks. The first week is mapping how you sell and deliver, the second is building sequences and calendars, and the remaining time is testing with real scenarios before launch.
Will the messages sound automated?
They sound the way you write them. We draft every message with you, use your business name and the customer’s first name, and the AI agent is trained on your services and prices, so replies stay specific.
What happens if a lead asks something the AI cannot answer?
The agent tells the lead a team member will reply, tags the conversation, and notifies your staff in the CRM. Nothing is invented and nothing is dropped.
Can it work with the CRM I already use?
We build on GoHighLevel because the calendar, phone, messaging and automation live in one place. If you keep another CRM, we sync contacts and bookings through native integrations or webhooks.
