Every call answered, every chair filled on time
AI phone agent, reminders, recalls and reviews that keep the schedule full without more front-desk staff.

One system, not a list of services
Every channel we run sends its leads into the same GoHighLevel pipeline, where the AI answers, follows up and books. That is what you buy, whichever page you started on.
What we promise, in writing
Owners tell us the last vendor locked them in, kept their phone number, or handed the account to a junior. So we put these four in every proposal.
No auto-renew, no exit fees
Setup is a fixed project. Management is month to month after that. Cancel with 30 days notice and nothing renews behind your back.
You own everything
The GoHighLevel sub-account, the phone numbers, the ad accounts, the pixel and every lead stay in your name. Leave, and you keep them.
Reported by booked appointments
Not impressions, not ROAS screenshots. You see calls answered, appointments booked and shows, every week, in your own dashboard.
Built by the people you talk to
No junior handed 14 accounts. The engineers who scope your system on the call are the ones who build it and answer your messages.
Why do clinics lose patients even when they are busy?
Clinics lose patients at the front desk, not in the treatment room. A new patient calls at 7 PM, gets voicemail, and books with the clinic that picked up. An existing patient forgets a hygiene visit because the reminder was a single text sent the night before. A completed treatment never turns into a review because nobody asked.
- The second line rings out while your receptionist is checking someone in, and the caller rings the next practice on the Google results.
- After-hours calls go to voicemail. Practice owners report finding out from the missed-call log, by accident, that a fifth of them never called back.
- No-shows and same-day cancels eat chair time, and the $90 fee is awkward to enforce without losing the patient.
- A phone-system contract that “will not let you out”, with support that vanished after onboarding.
Which clinic problems can an AI system actually fix?
| Problem | System we build | What changes |
|---|---|---|
| Calls go to voicemail after hours and at lunch | AI voice agent on GoHighLevel that answers, qualifies, and books into the live calendar | New-patient enquiries get a booked slot instead of a voicemail |
| Patients forget appointments | Multi-step reminder sequence by SMS, WhatsApp and email with one-tap confirm or reschedule | Fewer empty chairs and fewer same-day scrambles |
| Hygiene recalls slip | Recall campaign that re-contacts patients due for a visit and offers open slots | Existing patients come back on schedule without staff chasing them |
| Few Google reviews | Post-visit review request timed to the appointment, routed to Google or a private feedback form | A steady flow of recent reviews from real patients |
| Unscheduled treatment plans sit idle | Reactivation sequence for patients with accepted but unbooked treatment | Revenue already agreed to finally gets scheduled |
| Website enquiries wait until Monday | Missed-call text-back and instant web-form reply that opens a two-way conversation | First response in under a minute, any day of the week |
What does an AI receptionist for a clinic actually do?
An AI receptionist answers the phone in the clinic’s name, understands what the caller wants, and either books an appointment directly into the calendar or takes a message and alerts the team. It runs on GoHighLevel’s voice AI, which is metered by the minute, so a clinic pays for conversations that happen rather than a salaried seat that waits.
How do we cut no-shows without annoying patients?
No-shows drop when reminders are timed, personal and actionable. A single text the night before is easy to ignore. A sequence that confirms at booking, reminds a few days out, and sends a final nudge with a one-tap reschedule link gives patients three chances to keep their commitment or free up the slot.
Recall works the same way. When a patient’s next hygiene or check-up window opens, the system contacts them with real available times rather than a generic ‘call us to book’. Replies flow into one inbox so the team can jump in when a patient has a question.
- Confirmation at booking with calendar file attached
- Reminder sequence across SMS, WhatsApp and email based on patient preference
- One-tap confirm, reschedule or cancel that updates the calendar live
- Waitlist fill when a cancellation opens a slot
- Recall campaigns for hygiene, check-ups and unfinished treatment plans
How do we handle patient data and consent?
We keep clinical records in the clinic’s practice management software and use GoHighLevel only for communication and scheduling data. That separation is deliberate. The automation system needs a name, a contact channel, an appointment time and consent to message. It does not need diagnoses or treatment notes.
How does a clinic get from first call to a running system?
A fixed sequence so the practice manager always knows what happens next.
Strategy call
We map where enquiries, reminders and reviews currently leak, and agree which fixes come first.
Script and workflow design
We write the AI agent script, reminder sequences and review flow with the front-desk lead, using the clinic’s real FAQs and policies.
Build and connect
We set up GoHighLevel, connect the phone number, calendar and website forms, and test every path with staff before go-live.
Launch and tune
We monitor call transcripts and reminder responses for the first weeks, then adjust wording, timing and hand-off rules.
Grow
Once the foundation holds, we add paid campaigns on Google or Meta that feed the same system, so new demand is followed up automatically.
Which services do clinics usually combine?
Most clinics start with automation, then add search and social campaigns once follow-up is airtight.

We run clinic systems in three markets and adjust the details for each. In the USA, that means insurance questions handled by the AI agent, Google Local Services where available, and messaging consent captured properly.

Questions clinic owners ask us
Will the AI agent replace our receptionist?
No. It takes the calls your receptionist cannot get to: after hours, during treatment, over lunch and when two lines ring at once. Your team keeps the conversations that need a person, and they get a transcript of everything the agent handled so nothing is repeated or lost.
Does it work with our practice management software?
Usually yes. We connect GoHighLevel’s calendar to your booking system directly where an integration exists, or run a two-way sync through a middleware step. On the strategy call we confirm your software and tell you exactly how the connection will work before you commit.
Is patient data safe in this setup?
Clinical records stay in your practice software. The automation layer only holds contact details, appointment times and consent status. We configure access, retention and opt-out handling to fit US requirements, and we document what data lives where so you can answer any audit question.
How fast can a clinic go live?
Most clinics have the phone agent, reminders and review flow live within a few weeks. The timeline depends on how quickly we get the clinic’s FAQs, policies and calendar rules, and on any integration with existing software. We give you a dated plan after the strategy call.
What does it cost to run the AI phone agent?
GoHighLevel’s voice AI is metered per minute, and we pass that usage through transparently on top of our management fee. A quiet clinic pays for a handful of conversations a day. We show you the expected range for your call volume before launch and report actual usage monthly.
Can you also bring in new patients, not just manage existing ones?
Yes. Once follow-up is reliable, we run Google Ads for patients searching right now and Meta Ads for elective treatments like whitening, aligners or implants. Every lead lands in the same system, so it gets the same instant response and reminder sequence as a phone enquiry.
Do you work with multi-location groups?
Yes. Each location gets its own calendar, number and reporting inside one GoHighLevel account, with shared scripts and templates. Group managers see all locations in one dashboard while each practice manager sees only their own.
Does it write back into Dentrix or Eaglesoft?
Not directly, and we will not pretend otherwise: Dentrix and Eaglesoft do not allow outside calendars. The agent holds the slot in GoHighLevel, texts the patient a confirmation, and your front desk confirms it into the PMS in one click with the call transcript attached. Open Dental and Curve expose APIs, so there the appointment can be written automatically.
We were locked into a phone contract before. What is different here?
No auto-renewal, no exit fee, and the phone numbers are registered in your name so they port out with you. Management is month to month with 30 days notice. That is in the proposal, in writing, because practice owners tell us this is the thing that burned them last time.
