How do automated appointment reminders work for showings and open houses?

Appointment reminders for real estate are automated texts and calls that confirm showings, open houses and listing appointments, and they differ from clinic reminders because each appointment has an address, a route and often a homeowner who must be told a stranger is coming.

What is different about reminders in real estate?

Appointment reminders for real estate are messages sent before a showing, an open house or a listing appointment, and they carry more than a time. A showing reminder includes the property address, parking notes, whether the home is occupied and how to reach the agent on the way, because the buyer is traveling to a place they have never been. A missed showing costs the agent a drive across town and, when the home is occupied, an inconvenienced seller.

Reminders also run in two directions. The buyer is reminded to attend, and the seller or tenant is notified that a showing is confirmed so the home is ready. Both messages are generated from the same booking on the GoHighLevel calendar, so nothing is typed twice.

  • Showing reminders carry the address, parking and access notes
  • Seller and tenant notices go out from the same booking
  • Open-house reminders go to everyone who registered for the listing
  • Listing appointments get a prep message with what to have ready

How do we build the reminder system for a brokerage?

Every reminder is a workflow triggered by a calendar event in the brokerage’s GoHighLevel sub-account.

1

Calendar types

A round-robin Showings calendar, a per-agent Listing Appointments calendar and an Open House event calendar, each with custom fields for address, access type and occupancy.

2

Reminder workflows

A Showing reminder workflow triggered by Appointment booked sends confirmation, evening-before and two-hour texts using the address and access fields, with a Confirm or Reschedule reply option.

3

Seller notice workflow

The same trigger sends the seller or tenant a showing notice from the listing’s own contact record, so the homeowner is told every time a buyer is coming.

4

No-reply branch

If the buyer has not confirmed by the two-hour message, a Voice AI call confirms or reschedules and updates the calendar and the pipeline stage.

5

After the showing

A feedback request goes to the buyer and a summary to the seller, and a no-show moves the opportunity to a Re-book stage with a same-day text.

Compliance

What consent rules apply to showing reminders in the US?

A reminder is a transactional message about an appointment the buyer requested, which is the safest category under the TCPA 1991, but it still goes to a mobile number by automated means, so we capture consent when the showing is booked and register the brokerage number under A2P 10DLC. Statutory damages under the TCPA run $500 to $1,500 per message, so the opt-out keyword and the quiet hours are built into the workflow rather than left to the agent.

Seller notices contain no marketing, but they do contain a buyer’s showing time, so the agent never includes buyer names or contact details in the seller’s message, and the Fair Housing Act 1968 means feedback requests never ask about the buyer’s background.

  • Consent captured on booking, stored on the contact
  • Quiet hours enforced by the workflow, not by memory
  • Opt-out keyword stops all reminder channels at once
  • Seller notices carry no buyer personal data
Before launch

What does the brokerage need to provide?

  • Calendar access for each agent and the showing coordinator
  • Access notes per listing: lockbox code handling, alarm, pets, occupied hours
  • Seller and tenant contact records linked to each listing
  • Agreed quiet hours for texts and calls
  • Reschedule rules: how far ahead a buyer can move a showing
  • A2P 10DLC registration for the brokerage number
FAQ

Common questions about reminders for showings

Can the buyer reschedule from the reminder?

Yes. The reminder carries a reschedule link to the round-robin Showings calendar, and a new slot updates the agent’s calendar, the seller notice and the pipeline stage without anyone retyping the details.

Does the seller get told about every showing?

Every showing booked on an occupied listing sends a notice to the seller or tenant record attached to that listing. Vacant listings skip the notice. The rule is set per property.

What happens when a buyer does not confirm?

Two hours before the showing, a Voice AI call confirms or reschedules. If the buyer cannot be reached, the agent is warned before leaving, which is the main time saving for agents who drive between showings.

Can reminders include the lockbox code?

No. Access codes stay with the agent. The buyer’s reminder includes the address, parking and the agent’s number; the agent opens the home.

How much does a reminder system cost to run?

Texts are billed per segment and any AI confirmation call is metered per minute on GoHighLevel, about $0.10 to $0.20 per minute for speech-to-speech as of September 2026, before telephony and the agency fee. Most brokerages spend far less on reminders than on one wasted drive per week.
