How do automated reminders and recalls work for a dental clinic?

Appointment reminders for dental clinics are a timed sequence of texts, emails and calls that confirm tomorrow’s visit, fill a cancelled slot, and bring hygiene patients back at their recall interval without the desk dialling anyone.

What is different

Why are dental reminders different from a generic reminder?

A dental schedule has two kinds of appointments and they fail in different ways. A booked visit fails as a no-show, which leaves an operatory and a provider idle for 45 to 60 minutes. A hygiene recall fails silently: the patient was due at six months, nobody called, and the visit never existed. As we covered in our California clinic research, clinics lose around $200 per missed appointment at an 18 to 19% no-show rate, and the recall gap is usually larger than the no-show gap.

Reminders for dental clinics therefore run as two systems in GoHighLevel. The first protects booked visits with a confirmation branch: the patient replies C to confirm or R to reschedule, and a non-reply two hours before triggers a call. The second is a recall engine that reads the last hygiene date on the contact and starts an outreach sequence at the clinical interval the practice sets, three, four or six months.

The third difference is the reschedule path. A dental patient who cancels needs the next available slot with the same provider type, so the reminder links to the hygiene or doctor calendar, not a generic booking page, and the freed slot is offered to the waitlist.

  • Confirmation branch: C confirms, R opens the reschedule link, no reply escalates
  • Recall engine keyed to last hygiene date and the practice’s interval
  • Waitlist fill: a cancelled slot is texted to patients who asked for an earlier time
  • Pre-visit instructions for surgical or sedation visits sent as a separate message

What do HIPAA and TCPA require of a reminder text?

In the United States, HIPAA (1996) permits appointment reminders as part of treatment and healthcare operations, but the practice remains a covered entity and the messaging platform must be under a Business Associate Agreement. We write every template with the minimum necessary: date, time, provider, location and the reply keywords. No procedure names, no clinical findings, no account balances in a text.

Reminder texts to a mobile number also fall under the TCPA (1991) and carrier A2P 10DLC registration. The practice collects texting consent at booking (on the form, on the call, or at the desk) and the consent date is stored on the GoHighLevel contact; STOP replies end all messaging for that number at once. Statutory damages of $500 to $1,500 per unlawful message are the reason consent is captured before the first reminder, not after.

Setup

How do we build the reminder and recall system?

Two weeks from the first call to live reminders, in this order.

1

Calendars with provider types

Hygiene, doctor exam, surgical and consult calendars in GoHighLevel with real hours, so reschedule links only show valid chair time.

2

Custom fields on the contact

Last hygiene date, recall interval, preferred channel, texting consent date, insurance carrier; these drive every branch.

3

Booked-visit workflow

Trigger on Appointment booked; confirmation, evening-before request, same-day reminder, unconfirmed escalation, no-show follow-up.

4

Recall workflow

Trigger on last hygiene date plus interval; three-touch sequence ending in a call task; stops the moment a hygiene appointment is booked.

5

Waitlist and treatment-plan workflows

Cancelled slot texted to the waitlist tag; unscheduled treatment plans reminded at 14 and 45 days with a consult link.

Checklist

What does the practice decide before launch?

  • Recall intervals by patient type and whether periodontal patients follow a different cadence
  • Who receives the unconfirmed-visit alert and what the release rule is
  • No-show policy wording, if any, for the follow-up text
  • Which visits need pre-visit instructions and what those instructions say
  • The consent line on the intake form and the desk script for verbal consent
FAQ

Common questions from dental practices

How many reminders is too many?

For a booked visit, three touches over three days is the working pattern: confirmation, evening-before request, same-day reminder. Escalation only happens when the patient has not confirmed.

Can the reminder mention the procedure?

We keep it to the visit type, such as hygiene or consult. Procedure names stay out of texts to keep the message inside the minimum-necessary standard.

What if our practice software already sends reminders?

We map which system sends what, so patients never receive two. Most practices keep the practice software for the confirmation and use GoHighLevel for recalls, waitlist and treatment-plan follow-up, which practice software rarely does well.

Does the recall use the patient’s real last-visit date?

Yes. The date is stored on the contact, updated when a hygiene visit is completed, and the recall sequence starts from that date plus the interval you set.

Can patients reschedule from the text?

Yes. The R reply or the link opens the calendar for the same provider type with live availability, and the original slot is released to the waitlist.
