How does a fulfilment partner work behind an agency?

A fulfilment partner for agencies is a team that builds and runs the client systems an agency has sold, inside the agency’s GoHighLevel account and under the agency’s brand, with an NDA covering the client list, access limited to named sub-accounts, and written service levels for response and delivery.

What it is

What is a fulfilment partner for an agency?

A fulfilment partner for an agency is the team that does the technical and operational delivery after the agency has closed the sale. The agency keeps the client relationship, the contract, the invoice and the brand; the partner builds the sub-account from the niche snapshot, configures the AI receptionist, runs the ads, produces the report and fixes what breaks. The client sees one company.

This is different from an agency hiring a freelancer or a single business hiring us directly. The work happens inside the agency’s account, under the agency’s rules, across many clients at once, and the partner’s name never appears. That only works when access, confidentiality and service levels are written down before the first client is loaded.

Attributes

What does a fulfilment arrangement define?

These are the terms we put in writing with every agency. Each one exists because of a way that white-label work goes wrong without it.

TermWhat it coversHow it is set up in GoHighLevel
Non-disclosure agreementThe agency’s client list, pricing, sub-account data and internal processes are confidential; we do not solicit or contact the agency’s clients.Signed before any access is granted
Access scopeWhich sub-accounts we can open, at what user level, and whether we can create new sub-accounts from snapshots.Agency team member with sub-account assignments, not full agency admin
Named contact on each sideOne account manager at the agency and one delivery lead at Skill Up Experts, so no client instruction is passed through more than two people.Task assignments and internal notes in each sub-account
Response commitmentsHow quickly we acknowledge a request, how quickly a broken workflow or agent is fixed, and how quickly a new client is loaded from a snapshot.Request board shared with the agency; status visible per task
Delivery scope per tierExactly what is built and run for each of the agency’s SaaS tiers, so scope creep is a conversation, not a surprise.Scope document mapped to the niche snapshot
Reporting lineWe prepare the weekly client report; the agency’s manager adds the note and sends it under the agency brand.Scheduled report from the agency sender; draft note in a task
Access

How is access to the agency’s account controlled?

Access is granted at the sub-account level, not at the agency level. We are added as a team member with the sub-accounts we work on assigned to us, so we cannot open a client account we have not been asked to touch. Agency-level settings such as billing, SaaS plans and rebilling stay with the agency unless the agency asks us to configure them for a defined task.

Every change we make is traceable. Workflow edits, agent script changes and calendar changes carry the user who made them in the platform’s audit trail, and we log larger changes in the shared request board with the reason and the date. If the agency wants a change reviewed before it goes live, the request board holds it in review until the agency approves.

Onboarding

How does a fulfilment partnership start?

Five steps take an agency from a first call to the first client loaded.

1

Scope call and NDA

We map the agency’s tiers to a delivery scope, agree response commitments, and sign the NDA covering client data and non-solicitation.

2

Access setup

The agency adds our delivery lead as a team member with the first sub-accounts assigned, and shares the niche snapshots or asks us to build them.

3

Snapshot review

We test each snapshot in a sandbox sub-account: pipeline stages, calendars, workflow triggers and the Voice AI agent, and fix what the platform has changed since it was saved.

4

First client load

The first client is loaded from the snapshot, personalised, A2P 10DLC registered where texting is involved, tested end to end, and handed over with the first weekly report scheduled.

5

Steady state

New clients arrive on the request board, fixes are logged with dates, usage is monitored, and the agency’s manager receives the weekly report draft every Monday.

Compliance

What are the legal points for a US agency using a fulfilment partner?

Client data protection sits with the agency’s contract with each client, and the agency’s contract with us must not promise the client less than the agency promised. Our NDA names the sub-accounts, forbids solicitation of the agency’s clients, and states that all objects we build belong to the agency’s account.

If the agency publishes a testimonial about our work, or we publish one about the agency, the Federal Trade Commission’s Endorsement Guides require the commercial relationship to be disclosed clearly, and any results quoted must be specific, permitted and not presented as typical. Texting and calling inside the systems we run remain subject to the Telephone Consumer Protection Act of 1991 and to A2P 10DLC registration of each client’s number; the consent steps are built into the snapshots and we do not switch them off for speed.

FAQ

Common questions about fulfilment partners for agencies

Will my clients ever know Skill Up Experts is involved?

Not from us. We appear nowhere in the client’s dashboard, reports or emails, and the NDA forbids us from contacting your clients. Whether you tell them is your decision.

Do you need full admin access to my agency account?

No. Sub-account level access to the accounts we work on is enough for delivery. Agency-level settings are touched only for a task you have asked for.

Who owns the snapshots and workflows you build?

The agency. Everything is built inside the agency’s account and stays there if the arrangement ends, with a handover checklist.

How fast do you fix a broken agent or workflow?

Response and fix commitments are written into the agreement by priority. A live client losing calls is the top priority; a cosmetic change is scheduled.

Can you also run the ads for my clients?

Yes, under the same arrangement, with the client’s ad account connected through the platform so spend flows into the weekly report.
