GoHighLevel seasonal reactivation: 500 old customers, one afternoon, no carrier block

Your past customers are the cheapest jobs you will ever book. A spring tune-up text to 500 HVAC customers typically books 10 to 25 visits for about $8 in messaging. Here is how to send it without tripping carrier filters or Texas rules.

Short answer

How do you run a reactivation text campaign in GoHighLevel?

Import or sync past customers with a “customer” tag and last-service date, build a Smart List (customer, no job in 9+ months, valid mobile, not DND), write a two-text sequence (offer with two slots, then one reminder 3 days later), and send it as a Bulk Action with Drip Mode at about 50 to 100 texts per hour inside 9am to 9pm. Route replies to Conversations with keyword triggers (YES books, STOP opts out). Expect 2 to 5% to book within a week.

Before you start

What you need before you start

  • A clean export of past customers from ServiceTitan, Housecall Pro, Jobber or QuickBooks: name, mobile, last service date, service type, zip. Deduplicate on phone.
  • A2P 10DLC brand and campaign approved with a use case that covers “customer care and marketing to existing customers”; standard low-volume registration caps daily segments, so check your T-Mobile daily limit before sending 500 at once.
  • Opt-out language and a working STOP keyword (HighLevel handles STOP automatically on LC Phone).
  • Two real appointment windows to offer, pulled from your calendar.
  • A seasonal reason: tune-up before summer, water heater flush before winter, mowing restart, spring deep clean.
Steps

Step-by-step build

1

Import and tag

Contacts → Import CSV. Map last_service_date and service_type to custom fields. Add tag “customer” and the source (“hcp-export-2026-10”). Turn on “skip duplicates by phone”.

2

Build the Smart List

Contacts → filters: tag is customer; last_service_date more than 9 months ago; phone is not empty; DND is off; tag is not “do-not-market”. Save as “Reactivation – spring 2027”.

3

Write the sequence as a workflow

Trigger: Contact Tag Added “react-spring-2027”. Step 1 SMS from the owner: “Hi {{contact.first_name}}, it’s [Owner] at [Company]. We serviced your AC in [year]. Spring tune-ups are $[89] through [date], and we have [Tue 9am] or [Thu 1pm] in [City]. Want one? Reply YES or a day that works. Reply STOP to opt out.” Wait 3 days → if no reply, Step 2: “Last note from me, {{contact.first_name}}: two tune-up slots left in [neighbourhood] next week. Reply YES and I’ll hold one.”

4

Send with Drip Mode

From the Smart List → select all → Bulk Action → Add to Workflow → schedule → Drip Mode: 75 contacts per hour, 9am–8pm, Monday–Saturday. 500 contacts finish in about a day and a half.

5

Route replies

Workflow Settings → Stop on response ON. Second workflow: trigger Customer Replied; If message contains YES → create opportunity “Tune-up” and notify dispatcher; contains a weekday → same; anything else → assign to owner in Conversations.

6

Opt-outs and bounces

LC Phone processes STOP automatically and sets DND. Add a step after the campaign that tags undeliverable numbers “bad-number” so they are excluded next season.

7

Measure

Opportunities created from the campaign tag ÷ contacts sent. Record the booked rate and revenue per season in a custom object or spreadsheet; it becomes your best marketing number.

Settings

The exact settings we use for home services

Setting What we set Why
Audience Customers with no job in 9+ months, valid mobile, not DND Warm list, lowest complaint risk
Throttle Drip Mode 50–100/hour Stays under carrier velocity filters and keeps replies manageable
Hours 9am–8pm Mon–Sat; none Sunday for a marketing blast Inside Texas SB 140 and conservative on Sunday
Sender Owner by name Reply rate
Texts Two: offer, one reminder at 3 days Third text drives opt-outs, not bookings
Opt-out “Reply STOP to opt out” in text 1 Required for marketing; HighLevel honours it automatically
Keywords YES / day names → book; STOP → DND Replies become jobs without a human reading each one
A2P campaign use case Customer care + marketing to existing customers Matches the traffic; mismatched use cases get filtered
Mistakes

Where this goes wrong

  • Blasting 500 in one minute. Carriers flag velocity spikes from a low-volume campaign; half the texts quietly fail. Use Drip Mode.
  • Texting people who were never customers. Purchased lists and old leads are cold solicitation; in Texas that needs registration and invites complaints. Customers only.
  • No specific slots. “Call us to schedule” books nothing. Two concrete windows book.
  • Forgetting the Sunday rule. Texas allows noon–9pm on Sunday for solicitation; we skip Sunday entirely for blasts.
  • Sending from the company name. “ABC Services: It’s time for your tune-up!” looks like spam. “Hi, it’s Mike at ABC” gets replies.
Texas

Texas notes

Reactivation texts to past customers are consent-based communication under the November 2025 settlement on SB 140, so no telephone solicitation registration is needed, but they are still marketing: include your business name, a STOP line and send only inside the hours. Lawn care should put the LI number in texts that mention irrigation; HVAC the TACLA. Under Texas SB 140 (effective 1 September 2025) texts to prospects are telephone solicitation, so send windows stay 9am to 9pm Monday to Saturday and noon to 9pm Sunday; follow-up to people who contacted you first is exempt from registration under the November 2025 settlement, and Texas is one-party consent for recording.

FAQ

Questions owners ask

What response can I expect from a reactivation text campaign?

Typically 15–20% reply and 2–5% book within a week, so 10–25 jobs from 500 past customers. Warmer lists and a real seasonal reason do better.

How do I avoid carrier filtering when sending 500 texts?

Approved A2P registration with a matching use case, Drip Mode at 50–100 per hour, a named sender, a STOP line and no links shortened by third-party tools.

Can I text old leads who never became customers?

We advise against it. In Texas that is cold solicitation; it needs registration and generates complaints. Stick to past customers.

What is Drip Mode in GoHighLevel?

A Bulk Action setting that releases contacts into a workflow at a set rate per hour inside chosen days and hours.

How does STOP work?

LC Phone processes STOP, UNSUBSCRIBE and similar keywords automatically and sets the contact to DND for SMS.

When should HVAC companies send reactivation?

Late March to April for AC tune-ups and October for heating. Plumbers in October for water heater flushes; lawn care in late February; cleaning in January and September.

Should the text come from the owner or the company?

The owner or a named dispatcher. Named senders get roughly double the replies.

How do replies turn into jobs?

A Customer Replied workflow reads YES or a weekday, creates an opportunity and notifies the dispatcher; everything else lands in Conversations for a human.

Is this legal in Texas?

Yes, for past customers. It is consent-based under the November 2025 settlement. Keep 9am–9pm hours, include your name and a STOP line.

What does it cost?

Under $8 in messaging for 500 contacts, plus your HighLevel plan or agency fee.
