Lead follow-up

What is a database reactivation campaign?

A database reactivation campaign is an automated message sequence sent to dormant contacts in your CRM, such as past customers and old leads, that offers a reason to come back and books the people who reply, turning a list you already own into appointments without ad spend.

What does a database reactivation campaign do?

A database reactivation campaign sends a short sequence of texts, emails or WhatsApp messages to contacts who have not bought, booked or replied in a set period, and routes every reply into a conversation that ends in a booking. The list is the business’s own customers and leads, so the cost is the messages and the offer, not advertising.

The campaign runs inside GoHighLevel: a segment is built from the contact records, a workflow sends the messages on a schedule, the AI or a staff member answers replies, and the calendar takes the booking. Results are tracked by contact, so you can see exactly who came back.

Reactivation is usually the first automation we run for a new client, because a US service business with two or more years of records often has hundreds of contacts it has simply stopped talking to.

Segments

Which contacts should a reactivation campaign target?

A reactivation campaign should target contacts who once showed intent and then went quiet, grouped by why they went quiet. Each group gets a different message, because a patient overdue for a cleaning and a homeowner who never accepted a quote need different reasons to reply.

Segments are built from fields already in the CRM: last appointment date, last purchase, pipeline stage where the lead stalled, service type and the source that produced them. A contact with no consent record or a STOP on file is excluded before anything is sent.

Keep the first campaign small. Two hundred well-chosen contacts with a message written for them beat five thousand with a generic blast.

  • Past customers with no visit or purchase in 6 to 18 months
  • Leads that reached a quote or consultation and stalled
  • Leads that enquired but never booked
  • Customers whose recurring service or membership lapsed
  • Unscheduled treatment or open estimates on file
Sequence

What does a reactivation sequence look like?

Four messages over ten days is the default; the sequence stops the moment a contact replies or books.

Writing

How do you write a reactivation message that gets replies?

A reactivation message gets replies when it sounds like the business, names something specific, and asks one question. ‘Hi Maria, it’s Dr Lee’s office. You’re due for a cleaning and we have Tuesday and Thursday mornings open this week. Want one?’ is specific; ‘We miss you! Book now!’ is not.

The offer should be something the business can honour for everyone who replies: a seasonal check, an open estimate revisited at the same price, a membership restart, or simply availability. Discounts are optional and often unnecessary for past customers.

Every message identifies the sender, includes a way to stop, and avoids anything that reads as a promotion where the contact only consented to service messages.

Compliance

What are the consent rules for reactivation texts in the United States?

Reactivation texts in the United States must go only to contacts who gave consent to receive texts, from a business number registered for A2P 10DLC, and every message must honour STOP. Under the Telephone Consumer Protection Act, texts that promote a service need prior express written consent; a contact who once booked by phone may not have given it, so the consent field on the record decides who is in the campaign.

Email reactivation follows CAN-SPAM: accurate sender, physical address, working unsubscribe.

Process

How do you run a reactivation campaign step by step?

A first campaign runs in about two weeks from list clean to last message.

1

Clean the list

Remove contacts with no consent, a STOP on file, or an invalid number.

2

Build segments

Group by reason for going quiet and by service type.

3

Write one sequence per segment

Four messages, one question each, in the business’s voice.

4

Set the reply handling

AI answers and books, or staff get an alert with the thread; both use the live calendar.

5

Send in batches

Two hundred contacts a day so replies can be handled the same day.

6

Measure

Replies, bookings, revenue by segment; remove non-responders after the last message.

FAQ

Common questions about database reactivation

How many contacts do I need for it to be worth doing?

A few hundred with valid mobile numbers and consent is enough for a first campaign. Smaller lists still work but produce fewer bookings, so we set expectations from the list size.

Will contacts be annoyed by messages after a long silence?

Rarely, if the message is specific, comes from the business they used, and offers a way to stop. Generic blasts are what annoy people.

Can the AI handle the replies?

Yes. The AI answers questions, offers slots and books, and hands unusual replies to a person. Replies arrive in bursts after each send, which is exactly when a human team is slowest.

How often can we repeat a reactivation campaign?

Quarterly for most service businesses, with a new reason each time. Contacts who never replied across two campaigns are moved to email only.

What does it cost?

The messages cost cents each on GoHighLevel and the AI replies are metered per minute or per message; the main cost is the setup. There is no ad spend, which is why reactivation usually has the best cost per booked appointment of anything we run.
