Google Business Profile message templates: reply in minutes, keep the badge
When a homeowner taps “Message” on your Google listing, Google starts a clock. Miss too many and the button disappears. Answer in two minutes with a useful reply and you have a lead no competitor has seen yet. Here are the replies.

How should a contractor reply to Google Business Profile messages?
Set a welcome auto-reply that asks for zip and problem, then answer every message within minutes with one useful fact and one question: a price range and two slots, or a yes to “available today” with the window. Google can turn messaging off if you do not respond within 24 hours consistently, and it shows your typical response time to the next homeowner. Move the conversation to text with a tap-to-book link as soon as they share a number, and route GBP chat into the same inbox as your texts so nobody has to check a second app.
Why GBP messages are the lead nobody else sees
A Google Business Profile message is a private lead. The homeowner did not fill out an Angi form that went to five contractors; they tapped your listing because your reviews looked right, and they asked you a question. Google’s own help pages say it may deactivate messaging on profiles that repeatedly fail to respond within 24 hours, and it displays your response time on the listing, so slow replies cost you the channel and the next lead at once.
Most contractors lose these in two ways: the message sits in the Google app on the owner’s phone until evening, or the reply is “please call us”. Routing GBP chat into your main inbox and answering with a fact and a question fixes both.
The templates
Replace the brackets. Say them out loud once; if it does not sound like you, change the words, not the structure.
Welcome auto-reply (set in GBP → Messages → Welcome message)
“Thanks for messaging [Company]. I am [Name]. To get you a quick answer, what is your zip and what is going on? If it is urgent, call [number] and we pick up 24/7.”
“How much for a [service]?”
“Happy to help. For a [water heater replacement] in [zip] we are usually $[1,400–$2,200] installed, including permit and haul-away. The exact number depends on [gas vs electric and location]. I can hold [Thursday] for a visit; want it?”
“Are you available today?”
“Yes. Next window is [2–4pm] in [City]. Trip fee is $[89], applied to the repair. If that works, send your address and best mobile and I will book it right now.”
After hours
“Thanks for reaching out tonight. We open at 7am and you are first on the list; I will message you by 7:30 with a time. If it cannot wait, call [number] and our on-call picks up.”
Quote request with photos
“Got the photos, thank you. From what I can see it is [a failed capacitor / a cracked shingle run], and that is usually $[range]. I would want to confirm in person; the visit is free. Tomorrow or Thursday?”
Move to text
“So I can send you a confirmation and the tech’s name, what is the best mobile? I will text you the time and you can reply there, no need to keep this chat open.”
Spam or vendor message
“Thanks, we are not looking for [SEO / lead] services. Have a good one.” Then mark as spam so it does not count against response time.
Trade-specific versions
| Trade | What changes | Line to add |
|---|---|---|
| HVAC | Give a repair range and a replacement range; ask the system age | “How old is the system? Under 10 years we usually repair; over 15 we talk replacement.” |
| Plumbing | Ask whether water is active before anything else | “Is anything leaking right now? If yes, shut the main and call us; if not, here is the range.” |
| Electrical | Never price panel work in chat; offer the free visit | “Panel pricing depends on the service and the utility; the visit is free and I can come tomorrow.” |
| Roofing | Offer the free inspection with a photo report | “Free inspection with photos, no pressure, tomorrow or Thursday?” |
| Landscaping | Ask for a yard photo and give a range from it | “Send a photo of the area and I can rough a price tonight.” |
| Cleaning | Price from bedrooms and give two slots immediately | “3-bed, 2-bath deep clean is about $[325]. Thursday 9am or Friday 1pm?” |
What makes it work
- Minutes, not hours. Google shows your response time to the next homeowner; the badge is a lead magnet or a warning.
- Fact plus question. A range and two slots, or a yes and a window. Never “please call us”.
- Move to text fast. GBP chat has no booking link and no reminders; your text line does.
- One inbox. Route GBP messages into the same conversation inbox as texts and web chat so the person answering texts answers these.
- Mark spam as spam. Vendor pitches count against response time unless you flag them.
Texas notes
Once the homeowner shares a mobile and you move to text, you are in consent-based contact under the November 2025 settlement on SB 140; keep sends 9am to 9pm after the first reply. Put the licence number in the GBP description and the move-to-text message; TDLR and TSBPE require it in advertising and homeowners who message through Google are checking. Texas SB 140 (effective 1 September 2025) treats texts to prospects as telephone solicitation, so send between 9am and 9pm (noon to 9pm Sunday); contact with people who reached out first is exempt from registration under the November 2025 settlement. Texas is one-party consent for recording.
How we automate it
Connect GBP messaging to the inbox
Integrations → Google Business Profile → enable Messages, so GBP chats appear in Conversations beside texts and web chat.
Set the welcome reply
In GBP, a welcome message asks for zip and problem; the inbox tags the lead “gbp”.
AI first reply
Conversation AI answers the price and availability questions from your table and offers two live slots, then asks for the mobile to move to text.
Human on anything odd
Complaints, complex quotes and anything the AI is not sure about go to a person within the Google 24-hour window, usually within minutes.
Questions owners ask
How fast do I have to reply to Google Business Profile messages?
Google asks for replies within 24 hours and can turn messaging off for profiles that keep missing it. In practice, minutes win the lead; the listing shows your typical response time.
Should I set a welcome auto-reply?
Yes. Ask for zip and the problem, and give the phone number for emergencies. It buys you a few minutes and gets the useful facts first.
Can I give prices in GBP chat?
Give a range with what is included, and offer the visit for the exact number. Never a firm price on work nobody has seen.
How do I get GBP messages into one inbox?
Connect Google Business Profile messaging to your CRM inbox (HighLevel supports it), so GBP, texts and web chat land in one place.
Can an AI answer GBP messages?
Yes, for price ranges, availability and the move-to-text. Complaints and complex quotes go to a human inside the window.
Do spam messages hurt my response time?
They can. Mark vendor pitches as spam in GBP so they do not count.
Why move the conversation to text?
GBP chat has no booking links, reminders or confirmations. Your text line has all three.
What if a message arrives at 11pm?
Reply with the after-hours template (first on the list at 7:30, emergency number for now). The reply is instant; the booking happens in the morning.
Is messaging through Google different from texting under Texas rules?
The GBP chat itself is Google’s channel; once you move to the homeowner’s mobile you are texting someone who contacted you first, which is consent-based. Keep 9am–9pm for your own follow-ups.
Does answering GBP messages help ranking?
Google has not confirmed it as a direct factor, but it shows response time on the listing, and listings with fast responses and fresh reviews consistently win more taps.
