Cleaning quote follow-up that turns a deep clean into a biweekly client

Cleaning quotes are cheap to lose and expensive to lose. The lead cost $47, the first clean is $240, and the biweekly client behind it is worth about $3,900 a year. Most cleaning companies send one quote and move on. Here is the sequence that does not.

Short answer

How should a cleaning company follow up on a quote?

Text the quote within 10 minutes with two open slots, follow up the next day, on day 3 with a photo or checklist, and on day 7 with a plain “still want this?” Then, after the first clean, send one text offering the recurring rate. Cleaning customers decide in days, not weeks, and the real money is converting the one-time job into a biweekly or monthly client, so the sequence does not end at the booking.

Why it matters

What a lost cleaning quote really costs

WordStream’s 2025 home services benchmarks put a cleaning lead at about $47, with a 17.65% ad conversion rate, the best of any home service. Angi’s 2026 data (90,000+ projects) prices a standard clean at $118 to $238 and a 2,000 square foot deep clean at $240 to $500. So a lost quote looks like a $47 lead and a $240 job.

It is not. A deep-clean customer who becomes a biweekly client at $150 is worth about $3,900 a year, and cleaning clients commonly stay two to three years. The quote you did not follow up was a $8,000 to $12,000 relationship. Meanwhile the homeowner who asked three companies for quotes books whichever one texts back first with two concrete time slots. Blazeo’s 2026 data: 74% of businesses miss the five-minute window on new leads.

The sequence

The 7-day cleaning follow-up sequence, plus the recurring ask

Short texts from the owner or office manager by name. Always offer two specific slots; “when works for you?” gets no reply.

1

Day 0, within 10 minutes

“Hi [First name], it’s [Name] from [Company]. Your quote for the [deep clean / move-out clean] is $[amount] and includes [inside oven, fridge, baseboards]. We have [Tuesday 9am] or [Thursday 1pm] open this week. Which works?”

2

Day 1

“Morning [First name]. Holding [Thursday 1pm] for you until this evening. Our team is background-checked and insured, and we bring everything. Want it?”

3

Day 3, the checklist

“[First name], here is exactly what the [deep clean] covers so you can compare quotes fairly: [link to checklist]. If another quote is cheaper, check whether it includes the inside of the oven and the baseboards. Ours does.”

4

Day 7, the honest close

“Hi [First name], last one on the [move-out] quote. If you booked someone else, no worries, just let me know. If the date moved, tell me the new one and I will hold it.”

5

After the first clean, same evening

“Thanks for having us today, [First name]. If you want the house to stay like this, our biweekly rate for your home is $[150] instead of $[240], same team each visit. Want me to set up [every other Thursday]?”

Rules

What makes cleaning follow-up work

  • Two slots, every time. Open-ended availability questions do not get answered.
  • Checklist over adjectives. “Thorough” means nothing. “Inside the oven” means something.
  • Ask for recurring the same day. The house is clean, they are happy, the rate is lower. That text converts 30 to 40% in our client data; a week later it is half that.
  • Stop on reply. Any reply pauses the sequence and goes to a person.
  • Confirm the night before. Cleaning no-shows and lockouts cost a full slot; a 6pm confirmation text the day before cuts them sharply. Our cleaning retention page covers that.
Texas

Texas notes for cleaning companies

Cleaning needs no state trade licence in Texas, but customers ask about insurance and background checks more than any other trade, so say both in the day-1 text. On texting: the customer asked for the quote, so follow-ups are consent-based and exempt from SB 140 registration under the November 2025 settlement; the recurring-rate text after a completed job goes to an existing customer and is likewise exempt. Keep every send between 9am and 9pm (noon to 9pm Sunday). If you later run a bulk “spring deep clean” blast to old quotes, that is a solicitation, so keep the hours and include your business name and a stop line.

Automated

How we automate cleaning quote follow-up

1

Trigger from the quote

Quote sent in Jobber, Housecall Pro, ZenMaid or your booking form starts the sequence with two live slots pulled from your calendar.

2

Job-type wording

Recurring, deep, move-out, post-construction, turnover and commercial quotes each get their own checklist and wording.

3

The recurring ask

Job marked complete triggers the same-evening recurring offer with your rate for that home.

4

Reply handling

A reply pauses the sequence and lands in your inbox; “Thursday” books it; “booked elsewhere” logs the reason.

5

Texas hours

Nothing goes out before 9am or after 9pm, and Sunday starts at noon.

FAQ

Questions owners ask

How quickly should a cleaning company follow up on a quote?

Within 10 minutes by text, with two open time slots. Cleaning customers book whoever answers first, and the lead only cost about $47, so speed is the whole game.

How many follow-ups are too many?

Four over seven days, then one recurring offer after the first clean. Stop the moment they reply.

Should I follow up by phone or text?

Text. Homeowners read texts in minutes and rarely answer unknown numbers. Offer a call in the text if they prefer.

What is a good quote close rate for cleaning?

Well-run companies close 50 to 70% of residential quotes they actually follow up. Most companies do not know their number because they never follow up.

When should I ask a one-time customer to go recurring?

The evening of the first clean, with a specific lower rate and a specific schedule. Waiting a week roughly halves the yes rate.

Should I discount to win the quote?

Keep the one-time price and offer the recurring rate as the discount. That converts the job you want, not the one you do not.

Is texting quote follow-ups legal in Texas?

Yes. The customer asked for the quote, so it is consent-based and exempt from SB 140 registration under the November 2025 settlement. Send between 9am and 9pm.

Do I need a licence to run a cleaning company in Texas?

No state trade licence. Customers care about insurance and background checks, so mention both in your follow-up.

What do I do with quotes that went elsewhere?

Ask what decided it, then add them to a spring and fall deep-clean reminder. A good share come back when the other company lets them down.

Can this run from Jobber or ZenMaid?

Yes. The sequence triggers from the quote, pulls two real slots from your calendar, pauses on reply and fires the recurring offer when the job is marked complete.
