Housecall Pro CSR AI vs a standalone AI receptionist
You already pay $59 to $329 a month for Housecall Pro. Now it wants to sell you call answering too. Here is what CSR AI does, what it costs in practice, and when a receptionist that sits outside HCP is the better buy.

Which one should a contractor pick?
If you are on Housecall Pro MAX, already book everything in HCP, and you only want calls answered and scheduled, ask HCP for a CSR AI quote first. It is sold separately on every plan, has no published price, and independent guides put it between $100 and $500 a month. If you also want missed-call text-back, quote follow-up, review requests and a receptionist that works when you leave HCP, a standalone AI receptionist from about $97 a month does more for the money.
What Housecall Pro CSR AI actually does
CSR AI is Housecall Pro’s own call-and-chat answering agent. It picks up inbound calls around the clock, reads your service list and customer records, books jobs against your HCP availability and hands anything odd to a human. It is the only part of the “AI Team” that answers phones. Analyst AI, Coach AI and Marketing AI (the “write it for me” buttons) are included on every plan, but they do not talk to customers.
Two things trip people up. First, CSR AI is not included on Basic ($79), Essentials ($189) or MAX ($329 month to month). Even MAX buyers add it on. Second, there is no price on the website. You book a sales call and get a quote. Contractors who have shared numbers online report figures from about $100 to $150 a month at the low end to $200 to $500 or more for busier shops, with some seeing per-minute or per-call billing.
Housecall Pro CSR AI vs a standalone AI receptionist
The receptionist column below is a GoHighLevel-based setup like ours, which is the most common standalone option in the trades. The numbers are list prices as of October 2026.
| What you are checking | Housecall Pro CSR AI | Standalone AI receptionist |
|---|---|---|
| Published price | None. Sales quote only; third-party estimates $100–$500+/mo | $97/mo unlimited AI bundle (or $50/mo for 100 voice minutes) plus call minutes at about 1–2¢ |
| Needs a specific HCP plan | Yes. Add-on on Basic, Essentials and MAX; full API sync is MAX only | No. Works with any plan; pushes bookings into HCP via API or Zapier |
| Books into Housecall Pro calendar | Yes, natively | Yes on MAX via API; on Basic/Essentials via Zapier (creates customer and job request) |
| Missed-call text-back | Not a CSR AI feature | Yes, text within seconds when a call is missed or dropped |
| Quote follow-up texts | Not included (HCP Campaigns is a MAX add-on) | Yes, day 1/3/7 follow-up on every open estimate |
| Review requests after the job | Separate HCP feature | Yes, review text with your Google link, timed after invoice paid |
| Works if you leave Housecall Pro | No | Yes, same number, same receptionist, new CRM |
| Spam and solicitor screening | Yes | Yes |
| Texas texting hours (9am–9pm) built in | Not stated | Yes, send windows set per state |
| Setup time | Guided by HCP | About 2 weeks including number porting and script approval |
When CSR AI is the right call
- You live in Housecall Pro and nothing else. Every job, invoice and customer is already there, and your office manager does not want another login.
- You are on MAX anyway. The API sync is tightest there, so the receptionist can read real availability and member status without a middle layer.
- Your quote comes in low. If HCP quotes you around $100 to $150 a month and you only need calls booked, that is a fair price for a native tool.
- You want one vendor to blame. When something breaks, there is one support line.
When a standalone AI receptionist is the better buy
- You are on Basic or Essentials. You still get the add-on quote, but the sync is weaker. A standalone receptionist on Zapier does the same job for a known price.
- Calls are not your only leak. Hatch’s 2026 data has about 27% of inbound calls going unanswered and fewer than 3% of those callers leaving voicemail. A standalone setup also chases the quotes you sent and the reviews you forgot to ask for.
- You run Angi, Thumbtack or LSA leads. Those arrive by text and email, not by phone. CSR AI does not touch them. A standalone receptionist texts the lead inside a minute.
- You might switch software. Contractors move from HCP to Jobber or ServiceTitan more often than you would think. A receptionist tied to HCP leaves with HCP.
- You want a price before the sales call. HighLevel publishes its AI pricing. HCP does not.
What a month really costs: 150 calls, 40 estimates
Take a two-truck plumbing company in Fort Worth on Housecall Pro Essentials ($189 month to month). It gets about 150 inbound calls a month and sends 40 estimates.
| Line item | HCP Essentials + CSR AI | HCP Essentials + standalone receptionist |
|---|---|---|
| Housecall Pro plan | $189 | $189 |
| Call answering | $100–$500 (quote; mid estimate $250) | $97 unlimited AI bundle |
| Phone minutes (150 calls × ~4 min) | Included in quote (varies) | About $7 at 1.2¢/min inbound |
| Local number + A2P text registration | n/a | $1.15/mo + $24.50 one-off |
| Quote follow-up texts (40 × 3 texts) | Not available on Essentials | About $1 in text segments |
| Review requests (30 jobs) | Separate HCP feature | Included |
| Estimated monthly total | About $439 (range $289–$689) | About $295 |
The gap is not huge if HCP quotes you at the low end. The difference is what the money covers: one answers calls, the other answers calls and runs follow-up and reviews. Add one extra booked job a month at a $350 average plumbing ticket and either option pays for itself; add the follow-up and most shops recover two to four quotes they would have lost.
Texas notes before you turn either on
Both tools send texts. In Texas, texts to prospects count as telephone solicitation under SB 140 (effective 1 September 2025), and the safe window is 9am to 9pm Monday to Saturday and noon to 9pm Sunday. The November 2025 settlement means consent-based texting to people who contacted you first is exempt from registration, but keep the record of that first call or form. Texas is one-party consent for call recording, so your receptionist can record its own calls; still, a short “this call may be recorded” line avoids arguments. Licensed plumbers and electricians must show their licence number in ads, so put the RMP or TECL number in the receptionist’s text signature too.
How we connect an AI receptionist to Housecall Pro
Port or forward your number
We keep your existing number. Calls ring your crew first if you want, then roll to the receptionist after 20 seconds or straight away after hours.
Load your real services and prices
Service list, zip codes, dispatch fee and emergency rules come from your HCP account so the receptionist quotes the same way your office does.
Connect Housecall Pro
MAX accounts sync by API; Basic and Essentials connect through Zapier. Either way the booked job shows up in HCP with the call summary attached.
Turn on follow-up
Missed-call text-back, estimate follow-up on day 1, 3 and 7, and a review text after the invoice is paid.
Listen to the first 20 calls
We review transcripts with you in week one and fix wording before you forget about it.
Questions owners ask
Does Housecall Pro have an AI receptionist?
Yes. It is called CSR AI. It answers calls and chat 24/7 and books jobs. It is sold as a separate add-on on every plan, including MAX.
How much does Housecall Pro CSR AI cost?
Housecall Pro does not publish a price. You get a quote from sales. Independent guides and contractor reports put it between about $100 and $500 a month depending on volume.
Is CSR AI included in the MAX plan?
No. MAX ($299 annual, $329 monthly) includes the Sales Proposal Tool and Campaigns, but CSR AI is still an extra charge.
Can a standalone AI receptionist book jobs into Housecall Pro?
Yes. On MAX it connects through the Housecall Pro API. On Basic and Essentials it uses Zapier to create the customer and job request.
What is the AI Team in Housecall Pro?
Analyst AI, Coach AI and Marketing AI. They write texts, summarise numbers and give coaching tips. None of them answers the phone; that is CSR AI.
Does CSR AI send missed-call texts?
Not as a feature of CSR AI. It answers the call instead. A standalone receptionist does both: answers, and texts anyone who hangs up before it picks up.
Which option handles Angi or Thumbtack leads?
A standalone receptionist. Those leads arrive by text and email and need a reply inside minutes. CSR AI only handles calls and chat.
How fast can either be live?
CSR AI is set up with Housecall Pro after your quote. A standalone receptionist takes about two weeks, mostly waiting on number porting and A2P text registration.
Will I lose the receptionist if I leave Housecall Pro?
With CSR AI, yes. With a standalone receptionist, no; you keep the number and the scripts and point it at the new software.
Is there a cheaper way than either?
A live answering service starts around $250 to $350 a month for 30 to 50 calls, so no. Letting calls go to voicemail is free and loses about 97% of those callers.
