Call answer and speed-to-lead benchmarks, 2026: how many calls contractors miss

Every study measures it differently, and every study lands in the same place: home service companies miss somewhere between a quarter and half of their calls, and most text leads wait longer than five minutes. Here are the 2026 numbers side by side.

Short answer

How many calls do home service businesses miss in 2026?

Between 27% and 48% depending on how you count. Hatch’s 2026 data puts unanswered inbound calls at 27%; Invoca’s July 2026 report found only 52% of calls are answered by a person (65% for calls longer than 15 seconds). Fewer than 3% of callers who reach voicemail leave a message, about 78% do not call back, and 74% of businesses miss the five-minute window on new leads. Booking rates on identical traffic range from 31% to 77% between reps.

What it means

What these numbers mean for a contractor

  • Missed calls are the biggest leak in the business. At a 27% miss rate and a 3% voicemail rate, a shop taking 400 calls a month loses about 105 callers, nearly all of whom call someone else.
  • Who answers matters as much as whether. A 31% to 77% booking spread on identical calls means the script and the person (or AI) answering decide half the revenue.
  • Five minutes is the line for text and form leads. Three in four businesses are slower, which is why the first reply usually wins.
  • People prefer humans, but they prefer being booked more. 85% prefer a human; 78% will not wait for one. A fast AI with a human transfer satisfies both.
By trade

Where each trade feels it most

Trade Why missed calls hurt Typical ticket at risk
HVAC Summer volume doubles; emergencies decide in minutes $500 repair; $8,000–$14,000 replacement
Plumbing One-day sales cycle; emergency calls go to the next listing $1,714 average LSA ticket (SearchLight Q1 2026)
Electrical Fewer emergencies, but estimate requests that are missed rarely come back $2,500–$4,500 panel upgrade
Roofing Storm weeks: half of calls missed in 72 hours $12,000–$25,000 insurance replacement
Landscaping Ten-week spring; owner is on a mower $6,000–$20,000 hardscape
Cleaning Cheap leads, fast decisions; first reply wins $3,600–$3,900 per year recurring client
Measure yours

How to measure your own numbers in a week

1

Pull last month’s call log

Count inbound calls, answered calls and voicemails left. Most phone systems and Google Voice export this.

2

Calculate your miss rate

(Inbound − answered) ÷ inbound. If it is above 15%, you are leaking jobs.

3

Time your text replies

For the last 20 form, Angi or LSA message leads, note how many minutes until your first reply.

4

Count callbacks

Of the missed callers, how many called back or replied to a text within a day? That is your recovery rate.

5

Put a price on it

Missed callers × your booking rate × your average ticket. Our missed-call audit page has a free spreadsheet that does this for you.

Texas

Texas notes

Texas summers push HVAC and plumbing call volume to two or three times normal, and the ERCOT record peak of 91,089 MW on 22 July 2026 was a day when most small shops missed far more than the 27% average. Texting missed callers back is consent-based under the November 2025 settlement on SB 140 because they called you first; keep later follow-ups between 9am and 9pm.

FAQ

Questions owners ask

What percentage of calls do contractors miss?

Hatch’s 2026 data says 27%; Invoca’s July 2026 report says only 52% are answered by a person. Expect a quarter to a half depending on season and staffing.

How many callers leave a voicemail?

Fewer than 3%, per Hatch 2026. Voicemail is not a recovery plan.

How many missed callers call back?

About 22%. Roughly 78% do not, per CallRail and ServiceForge 2026 figures.

What is the speed-to-lead benchmark?

Five minutes. Blazeo’s 2026 data has 74% of businesses missing it.

Why do booking rates vary so much?

The same calls booked at 31% for some reps and 77% for others in a 130,175-call study. Script, tone and the ability to book on the spot make the difference.

Do customers prefer a human or AI on the phone?

85 to 87% say they prefer a human, but 78% will not call back after no answer. A fast AI with a human transfer covers both.

Are AI assistants sending phone calls now?

Yes. Invoca found ChatGPT-referred calls had a 45% lead rate and 41% conversion in 2026.

How do I measure my own miss rate?

Export last month’s call log and divide unanswered inbound calls by total inbound. Above 15% is worth fixing.

Do these benchmarks apply to Texas?

They are national studies. Texas summer peaks push HVAC and plumbing miss rates higher.

How often is this updated?

Quarterly, as the source studies refresh.
