AI receptionist for lawn care and landscaping
March is when a lawn company gets its year: 200 quote calls in four weeks while every crew is out and nobody is in the office. The homeowner who gets voicemail calls the next company on Google. Here’s what an AI receptionist should do on each kind of lawn and landscape call, what spring costs, and what to require.

What does an AI receptionist do for a lawn care or landscaping company?
It answers the spring surge, sorts calls in 20 seconds (recurring mowing quote, one-off cleanup, landscape project, existing customer scheduling, cancellation), collects the address and lot details so you can quote mowing from satellite view without a visit, books project consultations by area, and texts you the list. Landscaping projects average about $1,500 and a recurring mowing client is worth $1,500–$3,000 a year, so the March calls you miss are the year’s revenue you lose.
| Quick facts | |
|---|---|
| Average landscaping project (2026) | about $1,500; mowing $50–$80 a visit, $1,500–$3,000 a year |
| Share of a lawn company’s quote calls that arrive March–May | 40–60% |
| Homeowners who say they contacted 4 companies and got 2 replies | common in r/landscaping threads |
| AI cost in a 250-call March | $120–$250 (per-minute plans) |
| Live service cost in the same month | $1,500–$2,500 |
| Setup | A few hours; do it in February |
Which lawn and landscape calls should the AI take, and which should it hand off?
Calls fall into six kinds. The AI should handle five and hand off one.
| Call type | Share of calls | What the AI should do | What it must not do |
|---|---|---|---|
| Recurring mowing or maintenance quote | 35–50% in spring | Address, lot size if known, gates or dogs, frequency wanted; say you’ll text a quote within 24 hours (you quote from satellite view) | Quote a price unless you give it a published per-size rate |
| One-off cleanup, mulch, leaf, sod | 15–25% | Address and scope; book the next estimate window by area | Quote a price |
| Landscape design or hardscape project | 10–15% | Scope, budget range if they’ll share, timing; book a design consultation | Promise a start date |
| Existing customer: skip a week, reschedule, add a service | 15–25% | Look up the account, make the change, confirm by text | Change pricing |
| Cancellation | 5–10% | Ask why in one question, offer a pause instead of a cancel, record it, flag the owner | Argue |
| Vendors, spam, wrong number | 10% | End politely in 15 seconds | Spend minutes on it |
What should a lawn care and landscaping company require from any AI receptionist?
- Quote-from-satellite workflow. It collects the address and lot details and tells the customer a quote arrives by text within 24 hours. You measure from the map and send it. No wasted visits.
- Route-aware booking. Estimates booked by neighbourhood on your route days, not scattered.
- Account lookup for existing customers. Skip, reschedule and add-ons without calling you.
- Pause-not-cancel script. Half of spring cancellations are a temporary budget issue; a pause keeps the customer.
- Two-way texting. Confirmation to the customer, list to you.
- Pushes into your software. Jobber, Yardbook, Aspire, LMN or a shared calendar; see it on your account.
- Recordings.
- Per-minute pricing. Lawn calls are short and seasonal.
What does it cost a lawn care and landscaping company?
| Option | Oct 2026 price | Your busiest month (250 calls) | Fit |
|---|---|---|---|
| Live answering service (Smith.ai, Ruby, AnswerConnect) | $250–$350/mo for 30–50 calls or 50–200 min | $1,800–$2,600 at $9–$11.50 per call past the plan | Big-ticket first calls; mostly older customers |
| Per-minute AI (My AI Front Desk, Phonely, RingCentral AI) | $49–$99/mo with 100–200 min | $120–$250 at $0.25–$0.50/min (about 2.5 min a call) | Solo and 2–4 truck shops |
| Per-call AI (Smith.ai AI, Moneypenny AI) | $69–$150/mo for 25–75 calls | $450–$650 at $1.89–$2.50/call | Steady volume, want a brand name |
| GoHighLevel Voice AI, built for you (what we do) | Per-minute usage on your own account, plus setup | Usage only; no seat fee | Shops that want it wired to their calendar, pipeline and texts |
Lawn care has the lowest ticket in the trades, which is exactly why per-call billing fails: $10 to answer a call that leads to a $60 mowing visit is a third of the first visit gone. Per-minute AI at about 70 cents a call is the only answering option that pencils for recurring mowing, and the quote-from-satellite workflow means those calls become customers without a truck roll.
How does it get set up for a lawn care and landscaping shop?
Load your call sheet
Service area by zip, services and what you don’t do (tree removal, irrigation repair, pools), route days by area, the lot-size questions, and your pause-not-cancel script.
Connect the calendar and the software
Estimate windows by route day; where bookings and account changes land (Jobber, Yardbook, Aspire, LMN).
Set the ring order
Office first for four rings in season; AI overflow and after hours; AI-first in the March peak if the office is one person.
Record the opening in your voice
“Bluebonnet Landscapes, this is the assistant, Carlos is out on a crew. Is this a quote for regular mowing, a project, or are you already a customer?”
Run it in February with you listening
Fix the ten things it gets wrong before March.
Watch three numbers
Quotes collected per call, bookings per call, and “person” requests.
Texas notes
Texas lawns run nearly year-round, which means the spring quote surge in Dallas, Austin and Houston starts in late February and the summer drought brings a second wave of irrigation and sod calls in July. Water restrictions by city (Austin’s and San Antonio’s stage rules change by week) are the question callers ask most; give the AI a link to each city’s current schedule rather than a memorised answer that goes stale. A booking confirmation or a quote text to someone who called you is a reply under SB 140; a “spring special” text to last year’s list is marketing and needs consent on file. Our Texas texting rules page has the detail.
Questions lawn care and landscaping owners ask
Can it quote mowing over the phone?
Only if you give it a published per-size rate. Otherwise it collects the address and you quote from satellite view within 24 hours.
Will it work with Jobber or Yardbook?
Bookings and account changes can be pushed into both, and into Aspire and LMN. See it on your account first.
Can existing customers skip a week through it?
Yes, if your customer list is synced. That alone takes a hundred calls a season off the office.
Does it handle Spanish?
Most switch mid-call. Many Texas crews and customers will use it.
What about irrigation and tree calls?
Tell it what you don’t do and who you refer to; it ends those in 15 seconds.
How does it handle a cancellation?
Asks one reason, offers a pause, records it, and flags you. It doesn’t argue.
What does it cost in winter?
Usage only; a slow December can be under $40.
Can the office still answer first?
Yes. Four rings to the office, then AI; AI-first in the March peak if you want.
How long until it sounds right?
Two weeks in February with you listening.
What if it goes down?
Fallback to voicemail or a live service, set in week one.
