AI receptionist for fencing and deck companies
Fencing and deck calls are almost all quotes, they come in a spring and post-storm wave, and the ones you call back in two days have already met two other estimators. Here’s what an AI receptionist should do on each kind of fence and deck call, the questions that make the estimate visit worth it, what it costs, and what to require.

What does an AI receptionist do for a fencing or deck company?
It answers the spring and post-storm quote surge while the crew is building, sorts calls in 20 seconds (new fence, fence repair or storm damage, deck or patio cover, gate or automation, HOA or permit question, existing job), collects address, approximate linear feet or deck size, material interest and whether there’s an HOA, books the estimate visit by area, and texts you the summary. Fence and deck tickets run $3,000–$15,000, so the quote calls you miss in March and after a windstorm are the year’s biggest jobs.
| Quick facts | |
|---|---|
| Typical ticket (2026) | Fence $3,000–$8,000; deck $8,000–$20,000; storm repair $500–$2,500 |
| Share of calls that are new quotes | 60–75% |
| Surges (Texas) | March–May (spring); the week after any windstorm or hail event; fall for decks and patio covers |
| Quote-to-close for fencing | 25–40%; faster first response raises it |
| AI cost in a 200-call spring month | $99–$180 (per-minute plans) |
| Live service cost in the same month | $1,400–$2,000 |
Which fence and deck calls should the AI take, and which should it hand off?
Calls split into six kinds. The AI should handle five and hand off one.
| Call type | Share of calls | What the AI should do | What it must not do |
|---|---|---|---|
| New fence quote | 40–50% | Address, approximate linear feet (“roughly how many sides of the yard”), material interest (cedar, pine, iron, vinyl), gates, HOA yes/no; book the estimate by area | Quote a price per foot unless you publish one |
| Fence repair or storm damage | 15–25% (more after storms) | Sections down, leaning posts, gate not closing; whether a pet is contained; book the next repair window, priority if an animal can get out | Promise same-day |
| Deck, pergola, patio cover | 10–20% | Size, material, attached or freestanding, HOA; book the design consultation | Quote |
| Gate operator or automation | 5% | Existing gate or new, swing or slide; book the estimate | Diagnose |
| HOA, permit, property-line question | 5–10% | Explain that you handle the permit and that HOA approval is the homeowner’s step; book the estimate | Give legal advice on property lines |
| Vendors, spam, wrong number | 10% | End politely in 15 seconds | Spend minutes on it |
What should a fencing and deck company require from any AI receptionist?
- The sizing questions. Linear feet or deck size, material and gates on every quote call, so the estimator arrives with a number in mind.
- Area batching for estimates. Three estimates in one subdivision beat three across the metro.
- A pet-containment priority. A fence down with a dog in the yard is the one urgent fence call.
- A published per-foot range, if you have one. Companies that give “cedar privacy runs about $X–$Y a foot” on the call book more estimates, not fewer.
- Permit and HOA expectation line. Prevents the day-ten callback.
- Two-way texting. Confirmation, summary to the estimator.
- Pushes into your software. Jobber, Housecall Pro, JobNimbus or a calendar; see it on your account.
- Per-minute pricing. Seasonal and short calls.
What does it cost a fencing and deck company?
| Option | Oct 2026 price | Your busiest month (200 calls) | Fit |
|---|---|---|---|
| Live answering service (Smith.ai, Ruby, AnswerConnect) | $250–$350/mo for 30–50 calls or 50–200 min | $1,400–$2,000 at $9–$11.50 per call past the plan | Big-ticket first calls; mostly older customers |
| Per-minute AI (My AI Front Desk, Phonely, RingCentral AI) | $49–$99/mo with 100–200 min | $100–$180 at $0.25–$0.50/min (about 2.5 min a call) | Solo and 2–4 truck shops |
| Per-call AI (Smith.ai AI, Moneypenny AI) | $69–$150/mo for 25–75 calls | $380–$500 at $1.89–$2.50/call | Steady volume, want a brand name |
| GoHighLevel Voice AI, built for you (what we do) | Per-minute usage on your own account, plus setup | Usage only; no seat fee | Shops that want it wired to their calendar, pipeline and texts |
Fencing is a quote business with a long dead season, which makes a monthly live-service minimum wasteful in December and the per-call overage painful in April. Per-minute AI costs what you use, and the sizing questions it asks on every call are worth more than the plan: an estimator who knows the yard is 180 feet of cedar with two gates before he drives closes more and wastes less.
How does it get set up for a fencing and deck shop?
Load your call sheet
Materials and styles, service area by zip, published per-foot ranges if any, permit and HOA lines, what you don’t do (chain-link commercial? ranch fencing?), estimator areas and days.
Connect the calendar and the software
Estimate windows by area and estimator; where bookings land.
Set the ring order
Office first for four rings in season; AI overflow and after hours; AI-first in the March and post-storm peaks.
Record the opening in your voice
“Lone Star Fence, this is the assistant, Joe’s out on a build. Is this a new fence or deck, or a repair?”
Run it in February with you listening
Fix the sizing questions and the per-foot answers.
Watch three numbers
Estimates booked per call, estimates with size captured, quote-to-close.
Texas notes
Texas has no state licence for fencing or decks; city permits and HOA rules do the gatekeeping, and the AI should set that expectation. DFW and Central Texas windstorms and hail (the 24–29 April 2026 outbreak took fences down across Parker, Wise and Johnson counties) create a repair surge that lands on top of the spring quote surge, so the storm week is where answering first decides the year. Texas also has the fence-law question (who pays for a boundary fence) that callers ask constantly; the AI’s answer is “that’s between neighbours; we build it either way,” not legal advice. A booking confirmation is a reply under SB 140; a “spring fence special” to past customers is marketing and needs consent. The DFW page has the storm calendar.
Questions fencing and deck owners ask
Can it quote a fence over the phone?
Only a published per-foot range if you give it one. It books the estimate with the size and material noted.
Will it ask about HOAs?
Yes, and explain that HOA approval is the homeowner’s step and the permit is yours.
What about a fence down with a dog in the yard?
Priority repair window; it’s the one urgent fence call.
Does it handle Spanish?
Most do, mid-call. Many Texas fence customers and crews will use it.
Will it book into Jobber or JobNimbus?
Bookings can be pushed into both and into Housecall Pro. See it on your account.
What does it do in the dead season?
Usage only; a slow December can be under $40.
Can it answer property-line questions?
No. It says that’s between neighbours and books the estimate.
How does it handle storm weeks?
Flip to AI-first the night of the storm; repairs with pets contained go priority; estimates batch by neighbourhood.
How long until it sounds right?
Two weeks in February with you listening.
What if it goes down?
Fallback to voicemail or a live service, set in week one.
