What should client reporting for an agency show every week?

Client reporting for agencies is the weekly, agency-branded report built from GoHighLevel’s call, conversation, appointment and pipeline data that shows each client three numbers first: cost per booked appointment, lead response time and calls answered, so the client renews on outcomes rather than on activity.

What it is

What is client reporting for an agency?

Client reporting for an agency is the report each client receives about the system the agency runs for them, produced from the client’s own sub-account data and sent under the agency’s brand. It is different from a single business looking at its own dashboard in two ways: the agency has many clients in different niches, so the report must be built once and reused, and the agency’s revenue depends on the client reading it and renewing.

The numbers that keep a client are outcome numbers. Ad spend divided by booked appointments tells a plumber what a booked job cost; the median time between a lead arriving and the first reply tells a real-estate team whether the speed-to-lead promise is being kept; calls answered against calls received tells a clinic whether the receptionist is doing the job. Activity numbers such as emails sent or workflows run go in an appendix.

Attributes

Which GoHighLevel objects feed each number?

Every line in the report maps to a specific object, so the report can be rebuilt for any client from the same definitions.

Report lineSource object in GoHighLevelWhy the client cares
Cost per booked appointmentAd spend from the connected Facebook and Google ad accounts divided by appointments with status Confirmed in the calendar reportIt is the price of a customer sitting in front of them
Lead response timeConversation report: timestamp of first inbound message or missed call versus first outbound reply, per contactIt is the speed-to-lead promise, measured
Calls answered vs missedCall report: inbound calls by outcome, including calls answered by the Voice AI agent and calls transferredIt shows whether the phone line is covered

Design

How should the weekly report be laid out?

The report should open with the three outcome numbers for the week, each next to the prior four-week average, and a one-line note from the agency on what changed. The second block shows the funnel for the period: leads in, contacted within target time, qualified, booked, showed. The third block lists the actions the agency took and the actions it will take next week. Everything else is an appendix.

Branding is the agency’s, from the sender name to the footer. GoHighLevel’s dashboard widgets and scheduled email reports can carry the agency logo on a white-labelled account, so the client never sees a platform name. Where a niche needs a number the platform does not compute, we build it as a custom report from the exported call and appointment data and attach it.

Setup

How do we set up client reporting in an agency account?

Five steps, done once per niche and reused for every client.

1

Define the three outcome numbers per niche

Cost per booked appointment, response time and calls answered are the default; a real-estate niche may add showings booked, a clinic may add recall reactivations.

2

Connect ad accounts and call tracking

Link the client’s Facebook and Google ad accounts to the sub-account so spend is read, and make sure every inbound number is a tracked GoHighLevel number so calls appear in the call report.

3

Build the dashboard and the scheduled report

Create the agency-branded dashboard with widgets for calls, conversations, appointments and pipeline, then schedule the weekly email report to the client contact from the agency sender.

4

Save the definitions into the niche snapshot

Dashboard, widgets and schedule are saved into the industry snapshot so the next client in that niche loads the same report.

5

Add the agency note before sending

A workflow reminds the account manager on Monday to add the week’s one-line note and the next-week actions before the report goes out.

Compliance

What must an agency’s reports get right on data and claims in the USA?

Reports contain client data: lead names, phone numbers, call outcomes. The agency’s contract with each client should say who receives the report and where it is stored, and where Skill Up Experts prepares reports behind the agency, our access is limited to the sub-accounts named in the NDA. Contact-level detail should stay inside the sub-account; the emailed report should carry counts, not lists of people.

When an agency turns a client’s numbers into a case study or a testimonial, the Federal Trade Commission’s Endorsement Guides apply: the client’s permission is needed, a material connection such as a discount for the testimonial must be disclosed, and results must not be presented as typical without substantiation. Where the report counts texts and calls, those channels remain subject to the Telephone Consumer Protection Act of 1991 and to A2P 10DLC registration.

FAQ

Common questions about client reporting for agencies

Why cost per booked appointment rather than cost per lead?

Because a lead that never books costs the client money and produces nothing. Cost per booked appointment ties ad spend to a real outcome and matches how clients judge the agency.

Can the report show the GoHighLevel name?

It does not need to. On a white-labelled account the dashboards and scheduled emails carry the agency’s branding and sender.

How is response time measured when the AI answers?

From the first inbound event to the first reply of any kind, including a Voice AI answer or an automated text. The report separates automated replies from human ones so the client sees both.

What if a client’s ad account is managed elsewhere?

We still connect it read-only for spend, or the client’s other agency sends a weekly spend figure that we enter. Without spend, cost per booked appointment cannot be reported honestly, and we say so on the report.

Will Skill Up Experts present the report to my clients?

Only if the agency wants that, and then as the agency’s team under the NDA. By default the agency’s account manager presents it with the note we draft.
