AI receptionist for appliance repair companies
Appliance repair lives on short calls and first-visit fix rates. The caller with a warm fridge wants a time today; the tech wants the brand and model before he leaves the shop. Here’s what an AI receptionist should do on each kind of appliance call, the diagnostic-fee line it must say, what it costs, and what to require.

What does an AI receptionist do for an appliance repair company?
It answers the daytime calls your techs can’t (most appliance calls come between 8 a.m. and 6 p.m. while the techs are in kitchens), sorts them in 20 seconds (fridge or freezer not cooling, washer or dryer, dishwasher, oven or range, warranty or manufacturer referral, parts), collects brand, model number and symptom so the tech arrives with the likely part, states your diagnostic fee and how it applies to the repair, books by zone, and texts you the summary. Appliance tickets run $150–$450 and the win is first-visit fix rate, which starts on the call.
| Quick facts | |
|---|---|
| Average appliance repair ticket (2026) | $150–$450; diagnostic fee $75–$150, usually credited to the repair |
| Share of calls that are daytime (8 a.m.–6 p.m.) | 70–80%; techs are in homes, not at the phone |
| Calls where the caller can read the model number on the first call | 40–60% if asked; it raises first-visit fix rate |
| Fridge/freezer calls that are urgent (food at risk) | 15–25% |
| AI cost in a 300-call month | $120–$250 (per-minute plans) |
| Live service cost in the same month | $2,200–$3,000 |
Which appliance repair calls should the AI take, and which should it hand off?
Appliance calls split into six kinds. The AI should book four, redirect one, and hand off one.
| Call type | Share of calls | What the AI should do | What it must not do |
|---|---|---|---|
| Fridge or freezer not cooling | 15–25% | Brand, model (“the sticker inside the door”), how long, any noise; tell them to keep the door closed; book the first available slot by zone; state the diagnostic fee | Diagnose the compressor |
| Washer, dryer, dishwasher | 30–40% | Brand, model, symptom (leak, no spin, no heat, error code); book standard window; diagnostic fee line | Quote the repair |
| Oven, range, cooktop, microwave | 10–15% | Gas or electric, brand, model, symptom; gas smell → turn off, ventilate, call the gas utility first; book | Troubleshoot gas issues |
| Warranty or manufacturer repair | 10–20% | Ask whether under manufacturer warranty; if you’re not an authorised servicer, refer to the manufacturer line; if you are, take the dispatch number | Promise warranty coverage |
| Parts, DIY questions | 5–10% | Take the part request for the office if you sell parts; otherwise book a visit | Walk through a repair |
| Vendors, spam, wrong number | 10% | End politely in 15 seconds | Spend minutes on it |
What should a appliance repair company require from any AI receptionist?
- Brand and model capture. It asks for the model sticker location by appliance type and reads the number back. That one question is the difference between a one-visit and a two-visit job.
- A diagnostic-fee script. States the fee and that it’s credited toward the repair, before booking; the no-surprise line that prevents the cancelled visit.
- Brands you don’t service. Loaded so it refers out in 15 seconds (Sub-Zero, Viking, Miele, whatever you skip).
- Zone booking. Appliance routes are dense; book by area.
- Warranty logic. Authorised-servicer or not, and what to do with each.
- Two-way texting. Confirmation with the fee and a reminder to have the model number handy; summary to the tech.
- Pushes into your software. Housecall Pro, Jobber, ServiceTitan, Workiz or a calendar; see it on your account.
- Per-minute pricing. Appliance calls are short.
What does it cost a appliance repair company?
| Option | Oct 2026 price | Your busiest month (300 calls) | Fit |
|---|---|---|---|
| Live answering service (Smith.ai, Ruby, AnswerConnect) | $250–$350/mo for 30–50 calls or 50–200 min | $2,200–$3,000 at $9–$11.50 per call past the plan | Big-ticket first calls; mostly older customers |
| Per-minute AI (My AI Front Desk, Phonely, RingCentral AI) | $49–$99/mo with 100–200 min | $120–$250 at $0.25–$0.50/min (about 2.5 min a call) | Solo and 2–4 truck shops |
| Per-call AI (Smith.ai AI, Moneypenny AI) | $69–$150/mo for 25–75 calls | $550–$750 at $1.89–$2.50/call | Steady volume, want a brand name |
| GoHighLevel Voice AI, built for you (what we do) | Per-minute usage on your own account, plus setup | Usage only; no seat fee | Shops that want it wired to their calendar, pipeline and texts |
Appliance repair has the highest daytime call share of any trade, which is exactly when the techs can’t answer; most shops either miss a third of calls or pay an office person. A per-minute AI that captures the model number is worth more than its price in truck rolls alone: one avoided second visit a week pays for the plan.
How does it get set up for a appliance repair shop?
Load your call sheet
Brands you service and don’t, appliance types, service area by zip, diagnostic fee and credit rule, warranty status (authorised for which brands), model-sticker locations by appliance, what you don’t do (commercial, HVAC, water heaters).
Connect the calendar and the software
Windows by zone; where bookings land (HCP, Jobber, ServiceTitan, Workiz).
Set the ring order
Office first for four rings; AI overflow during the day; straight to AI before 8 and after 6.
Record the opening in your voice
“Metro Appliance Repair, this is the assistant, Luis is on a job. Which appliance is giving you trouble, and do you know the brand?”
Run it for two weeks with you listening
Check the fee script and the model-number capture on every call.
Watch three numbers
Bookings per answered call, calls with a model number captured, first-visit fix rate.
Texas notes
Texas has no state licence for appliance repair (gas-line work is plumbing-licensed, so the AI should never advise on gas beyond “turn it off and call the utility”). Summer is the fridge and AC-adjacent season in Houston and Dallas, and the August power events send a wave of “everything stopped” calls; the “is the street dark” question saves wasted trips. A booking confirmation with the fee is a transactional text, fine under SB 140; a “dryer vent cleaning special” to past customers is marketing and needs consent. The Texas rules page has the detail.
Questions appliance repair owners ask
Can it quote the repair?
No. It states the diagnostic fee and that it’s credited to the repair; the tech quotes on site.
Will it get the model number?
It asks where the sticker is for that appliance and reads the number back. Expect 40–60% of callers to have it on the first call.
What about brands I don’t service?
Loaded on the call sheet; it refers out in 15 seconds.
Does it handle manufacturer warranty calls?
It asks warranty status and either takes the dispatch number (authorised) or refers to the manufacturer line.
Does it handle Spanish?
Most do, mid-call. Test it.
What does it do on a gas smell?
Turn it off, ventilate, call the gas utility first, then it books.
What does it cost a one-truck company?
$49–$99 a month at 60–120 calls.
Will it work with Housecall Pro or Workiz?
Bookings can be pushed into both and into Jobber and ServiceTitan. See it on your account.
How long until it sounds right?
Two weeks with you listening.
What if it goes down?
Fallback to voicemail or a live service, set in week one.
