How much revenue are missed calls costing your business?
Multiply the calls you miss each month by the share that were new customers, your close rate and your average job value. For a typical home-services company taking 150 calls a month and missing 30%, that is roughly $5,000 to $8,000 a month walking to a competitor. Use the calculator below with your own numbers.

How does the missed-call revenue calculator work?
The calculator follows the path a lost caller takes. It starts with your monthly inbound calls, applies the share you miss, keeps only the missed calls that were new customers rather than existing ones, applies the close rate you achieve when you do speak to a prospect, and multiplies by the average revenue a new customer brings. That gives lost revenue per month, which is multiplied by twelve. The recovery line applies the share of missed callers that missed-call text-back typically brings back.
It deliberately ignores lifetime value and referrals, so the real cost is higher than the figure shown. It also assumes missed calls are as valuable as answered ones; in most trades they are more valuable, because after-hours callers tend to have urgent problems.
- Missed calls = calls per month × missed share
- Lost customers = missed calls × new-customer share × close rate
- Lost revenue = lost customers × average revenue per new customer
- Recoverable = lost revenue × recovery share × 12
Where do the default numbers come from?
| Input | Default | Typical range | Source or reasoning |
|---|---|---|---|
| Share of calls missed | 30% | 20% to 62% | Our California clinic audit found 62% unanswered; well-staffed offices manage 20 to 30% |
| Callers who hang up on voicemail | Built in | about 80% | Industry call-handling studies; most callers try the next listing instead |
| Missed calls that are new customers | 50% | 30% to 70% | Higher for businesses that advertise; lower for subscription or repeat-service businesses |
| Close rate on a live conversation | 40% | 25% to 60% | Home services and dental new-patient calls; lower for high-ticket B2B |
| Average revenue per new customer | $450 | $150 to $10,000+ | Plumbing and HVAC service call to full system replacement; dental first-visit to treatment plan |
| Recovery with missed-call text-back | 40% | 30% to 50% | Reply and booking rates we see when the text goes out within 60 seconds |
Why do missed calls cost more than owners expect?
How do you stop losing the revenue the calculator shows?
Measure the real missed-call rate
Pull a month of call logs from your phone system or call tracking. Count rings with no answer and voicemails with no callback inside an hour.
Install missed-call text-back
Any call that rings out triggers a text within seconds offering help and a booking link. This is the cheapest fix and recovers the first third.
Add an AI receptionist for after hours
A voice agent answers, qualifies and books when nobody is at the desk. See the AI receptionist cost page for pricing.
Route urgent calls to a human
Emergencies and complaints hand off to an on-call number so the AI never has to guess.
Report weekly
Track missed calls, texts sent, replies and bookings in one dashboard so the number you calculated here keeps falling.
Common questions about the missed-call calculator
How many calls does a small business actually miss?
Our California clinic research found 62% of small-business calls going unanswered across the sample, with the worst gaps after 5 pm and at lunchtime. Most owners guess 10 to 15%, so measure first: your phone system or call tracking report shows answered versus missed.
Why does the calculator assume callers do not leave a voicemail?
Because most do not. Around 80% of callers who reach voicemail hang up without leaving a message, and a large share of those call the next business on the list. The calculator’s recovery rate reflects how many you can win back with an instant text.
What is a realistic recovery rate with missed-call text-back?
Between 30% and 50% of missed callers reply to a text sent within a minute, and roughly half of those book. We default to 40% recovery of lost revenue, which is conservative for emergency services and generous for low-intent enquiries. Adjust the slider to your market.
Does this include calls missed after hours?
Yes, if you include them in the calls-per-month figure. After-hours calls are usually the highest-value ones for plumbers, HVAC, locksmiths and dental emergencies, which is why an AI receptionist often pays for itself on those alone.
What should I do with the result?
Compare the annual lost-revenue figure with the cost of fixing it. Missed-call text-back costs a few hundred dollars a month at most; an AI receptionist costs more but answers instead of texting. Our AI receptionist cost page has current numbers.
Is my data stored when I use this calculator?
No. The calculator runs in your browser and nothing is sent to us. If you want a measured number instead of an estimate, book a free growth audit and we will pull your real call logs.
